Bundles: Assemblies and Kits

You can combine multiple products or components in a bundle. In erplain, they are called assemblies and kits. Just like creating a recipe, you can create a product that is made from other products (or components).


There are 2 types of bundles:

1. Assemblies - Bundles with their own inventory and pricing

2. Kits - Bundles with the inventory and pricing from their components



Assemblies - Bundles with their own inventory and pricing

This type of bundle is just like linking multiple products together. The bundle and its components are regular products, each have their own inventory levels, pricing, SKU,...


For example, a product called Table (the bundle) is made of 1 Table top, and 4 Legs (its components).


Creating an Assembly (bundle with its own inventory and pricing)

  • To create a bundle, start by creating a new product (or editing an existing product) with its information, pricing and inventory, then click on 'Add bundle components' at the bottom of the product form:


  • Then select the products and quantity that will become the components of your new 'bundle' product:


For this type of bundle, do not select this option:


Transform bundle

Once you have created your bundle, you will need to "allocate" the components from your current inventory to 'create' a certain number of bundles.  In other words, you need to transfer the components' inventory to your new 'bundle' product (or finished product).  In the example above you will need 1 'Table top', and 4 'Legs' to make 1 'Table'. Your 'Table' inventory will increase by one, the Legs' inventory will decrease by 4 and the 'Table top' inventory will decrease by 1.

  • Go to Menu > 'Products & Services' > 'Transform bundle':


  • Select the Product bundle that you have created previously, choose the location and your quantity:

Under 'Create bundle', type the quantity and click on 'Create'. For example: if you type 5, it will create 5 'Table', remove 5x4 'Legs' and 5x1 'Table top'.


If you need to reverse this operation, type the quantity under 'Split bundle' and click on 'Split', it will remove the 'Table' inventory and add the components back in your inventory.


Note: erplain will suggest automatically the number of bundles / assemblies you can create based on the component's inventory but you can still create more bundles if necessary. The inventory of component will be negative, ready to be replenished.


Because these bundles are regular products, you can create stock entries, removals, and movements that include these bundles. If you create backorders with these bundles, erplain will automatically include the components of the bundle in the purchase order.


Important Note: For this type of bundle, the inventory of components is not updated when you sell the bundle. Only the inventory of the bundle is updated.


Kits - Bundles with the inventory and pricing from their components


This type of bundle will create a product that doesn't have inventory or pricing of its own.  The inventory and pricing is calculated from its components. For example:

The bundle: 'Tennis Bundle' is made from 2 tee-shirts, 1 pair of shoes and 1 short.  If you have 10 tee-shirts, 5 shoes and 5 shorts on-hand, then your bundle will have 5 on-hand.

The pricing of this bundle will be the sum of the pricing of its components.


Creating a Kit (bundle with the inventory and pricing from its components)

  • To create a bundle, start by creating a product, then click on 'Add bundle components' at the bottom of the product form:


  • Then select the products and quantity that will become the components of your 'bundle' product:


For this type of bundle, make sure to select this option:

As soon as you select this option, the inventory and pricing information for this product will disappear as it will now be calculated from its components.


Discount

You can select a discount for this bundle. It will automatically be applied when being added to sales transactions:

For example, if this bundle includes Product A with a price of $20 and Product B with a price of $40, the bundle price will be $48.


Important: This is not possible to create this type of bundle from an existing product. You can only create this type of bundle while creating a new product.


Once this bundle is created, you will see it in your Stock level but its inventory is calculated from its components:


You can view the component's inventory directly by clicking on:




You can include this bundle in an invoice or sales order, the inventory of its components will be decreased automatically:



If you want to show the components in the PDF document, you can select this option in the PDF Settings:



Because these bundles don't have their own inventory, it is not possible to include them in Purchase orders, Stock entries, Stock removals, and Stock movements.



Important note for accounts connected to QuickBooks Online: If you need to sync this type of bundle (Inventory and Pricing from Components) with QuickBooks, please read the instructions on this page.
